Terms & Conditions
Last updated 29 October 2026
These terms apply to your use of Reload AI (the "Service"). The Service is provided by WeBuyGolf, a sole trader business based at South Winchester Golf Club, Romsey Road, Winchester SO22 5SQ, United Kingdom ("WeBuyGolf", "we", "us"). When you use the Service, your contract is with WeBuyGolf.
1. Accepting these terms
By creating an account, starting a trade-in or subscription, or continuing to use the Service, you agree to these terms. If you don't agree, please don't use the Service.
If you use the Service for a golf club, shop, simulator venue or other business, you confirm that you're authorised to accept these terms for that business. If you use it as an individual, you confirm you're at least 18 years old.
2. What the Service does
- Golfer trade-ins: golfers scan a club on their phone, receive an AI-assisted condition grade and an offer, and drop the club off at a partner venue or post it in.
- Venue clearinghouse (free for venues): partner venues check trade-ins in at the counter and either keep clubs for their own stock or send them to us.
- Pro Studio (paid subscription): AI condition grading, live UK pricing, studio product photos and eBay listing tools (drafts, Seller Hub CSV and copy-ready descriptions) for a venue's own stock.
3. Your account
You must keep your login details confidential and you're responsible for activity under your account. Please give us accurate information and keep it up to date. Tell us straight away if you think someone else has accessed your account.
4. Trade-in offers
Offers shown after a scan are estimates based on your photos, the details you give us and current UK market prices. Every club is physically inspected after drop-off or delivery. If the club, its condition or its specification differs from what was scanned or declared (for example a missing headcover, a replacement shaft or hidden damage), we may revise the offer or decline the club. If you don't accept a revised offer, we'll return the club or arrange its return. Payment is made by bank transfer or as venue credit, as chosen at checkout, after the club has passed inspection. Venue credit is provided and honoured by the venue, not by WeBuyGolf.
5. Payments and subscriptions
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
Payment, billing, tax, renewal, cancellation and refund mechanics for Pro Studio are governed by Paddle's Buyer Terms. In summary: Pro Studio renews monthly until cancelled, may start with a free trial, and includes a monthly allowance of listings with any extra listings billed as shown on the Studio page. If you cancel, Studio remains available until the end of the period you've paid for. See our Refund Policy.
6. Acceptable use
You must not use the Service to:
- break any law, or trade in stolen, counterfeit or misrepresented goods;
- commit fraud, including swapping clubs after a scan, hiding damage or giving false specifications;
- send spam or upload content that is illegal, abusive, hateful or that you don't have the right to use;
- infringe anyone's intellectual property or privacy rights;
- interfere with the Service's security, including uploading malware, probing or testing for vulnerabilities, scraping, or getting around usage limits;
- reverse engineer, resell or redistribute the Service, or try to manipulate or 'jailbreak' its AI features.
7. AI features and accuracy
The Service uses artificial intelligence to grade condition, identify specifications, suggest prices and produce listing text and studio images. AI output can be wrong or incomplete. You're responsible for the photos and information you provide, for checking AI output before relying on it, and for how you use it — for example, checking an eBay title, description and price before publishing. AI output isn't professional valuation advice.
8. Your content and intellectual property
We (and our licensors) own the Service, including its software, design, documentation and the Reload AI brand. We give you a limited, non-exclusive, non-transferable right to use the Service within your plan while these terms apply.
You keep ownership of the photos and videos you upload, and you confirm you have the right to use them. You grant us a licence to store, process and display them, and to create studio images and listings from them, only as needed to provide the Service (for example sharing club photos with a trade buyer when a club is sent on). You may use the studio images and listings created for your own clubs.
If you believe content on the Service infringes your rights, contact us with details and we'll investigate and remove it where appropriate. We may suspend users who repeatedly infringe others' rights.
9. Moderation, suspension and termination
We may remove or restrict content, refuse or filter AI output, and suspend or end your access if you materially breach these terms, don't pay amounts due, create a security or fraud risk, or repeatedly or seriously break our policies. When access ends, we'll delete or anonymise your data as described in our Privacy Notice, except where we need to keep records by law.
10. Service availability and warranties
We work hard to keep the Service running, but we don't guarantee it will be uninterrupted or error-free. To the fullest extent the law allows, we exclude implied warranties such as fitness for a particular purpose. Third-party services (such as eBay, couriers and payment providers) are outside our control.
11. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else that can't be limited by law. Otherwise, we aren't liable for indirect or consequential losses, or loss of profits, data or goodwill, and our total liability is limited to the fees you paid us in the 12 months before the claim. If you're a consumer, your statutory rights aren't affected.
If you're using the Service for a business, you agree to cover our reasonable losses arising from your content, unlawful use or breach of these terms.
12. General
Neither of us is responsible for delays caused by events outside reasonable control. You may not transfer your rights under these terms without our consent; we may transfer ours as part of a sale or reorganisation of our business. We may update these terms and will give notice of significant changes. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
